A regional logistics operator coordinating multi-hub shipments. Customers demanded proactive status updates while ops lived in WhatsApp threads. Leadership wanted trustworthy visibility without a full TMS replacement on day one. Dispatch, warehouse, and customer success each held partial truth about a shipment’s state. The challenge

Create trustworthy shipment visibility and exception workflows as a high-ROI slice, not a boil-the-ocean TMS rewrite. Partner and warehouse events had to normalize into one status model; customers needed a portal; ops needed queues with clear next actions; notifications needed approved WhatsApp templates with email fallback. Success metrics targeted fewer status-only contacts and faster exception triage. Non-goals included full routing optimization and warehouse WMS replacement in phase one. The challenge was shipping the thinnest layer that still changed daily ops behavior.

Technical solution

AVYRION delivered a visibility layer: event ingestion from carriers and warehouses, a customer status portal, ops exception queues, and milestone notifications. We mapped lanes, handoffs, and the highest-volume exception types before building UI. Status ownership and next actions were designed to be obvious for both ops and customers. Approved WhatsApp templates with email fallback covered key milestones without turning chat into the system of record. After launch we monitored SLA breaches and tightened exception playbooks so the portal replaced chat archaeology instead of adding another ignored dashboard. Measured outcomes included fewer status-only contacts and faster triage on delayed and damaged shipments.

Architecture

Event ingest APIs normalize carrier and warehouse updates into PostgreSQL with a single curated status model. A React ops console and customer portal read that curated status so both sides see the same milestones. Notification workers send WhatsApp and email templates for key events with clear opt-in rules. Hosted on AWS with CI deploys and searchable logs so ops can investigate gaps without hunting through personal inboxes. The visibility core leaves a deliberate path to routing and warehouse modules later — without forcing a full TMS replacement on day one.
